Dashboard
Welcome to EllisDocs! Prior to the start of operational use, you will need to set up the account for your organization and users in the dashboard at portal.ellisdocs.com.
The Client Admin can perform several tasks in the dashboard, such as:
- Creating an individual user profile
- Creating, assigning, and tracking tasks to users
- Creating, assigning, and tracking trainings to users
- Creating, assigning, and tracking reports assigned to users

Editing in the Dashboard
There are four options for viewing and making edits in the dashboard; view, edit, delete, and assign. These options can be executed by using the following icons:

VIEW – Select this icon to view details.

EDIT – Select this icon to edit details.

DELETE – Select this option to delete details.

ASSIGN – Select this option to assign users.
Departments
IMPORTANT: It is mandatory to assign users to a department. Departments should be set up prior to adding user profiles.
Departments refer to the division of each area of work such as aquatics, maintenance, park services etc. Client Admins can create departments to assign to users.
To create a new department, click on the Add Department nav item under users. Add the department name, set the status (active/inactive) and click the Add button. The department will now be seen in the list of available departments.


Roles
Roles refer to the permissions given to the employees, such as lifeguards, managers, etc. The roles list will show all the active roles that have been created in the dashboard. It will not show the inactive roles. If a role is not in use, it can be made inactive. The Client Admin can enable or disable module and operational permissions to specify the level of access and abilities granted to each role within the app.

Adding Roles
Custom roles are created and assigned to users by clicking on the Add Role nav item. Enter the following into the Add Role section and then click on the Add button:
- Role Title
- Status: Active or Inactive
- Facility
- Module permissions: Enable/Disable
- Operation permissions: Enable/Disable

Users
The Client Admin can add users (employees, contractors, lifeguards, etc.) to the organization through the dashboard.
Adding New Users
IMPORTANT! Departments and Roles should be set up first, followed by the individual user accounts.
A user is the individual who operates the app. Each user has unique permissions within the app that are determined by the Client Admin. Client Admins can create individual user profiles and assign roles and departments.
The number of available users is based on the package chosen for your facility. To view the number of available users and whether they have active or inactive roles, click on Users in the left-hand navigation.

To begin, click on Add /User.
Add the following information in the window:
- First name
- Last name
- Email address
- Type: Sub Admin/Manager/Admin
- Role
- Department
- Password (This is a temporary password. User will be asked to change their password.)
- Facility/Location
- Phone Number
- Status: Active/Inactive
- Module permissions: Enable/Disable
- Operation permissions: Enable/ Disable
Tasks
Client Admins and users with the correct permissions can view, create, and assign tasks in the dashboard. Once a task has been assigned, it can be viewed and completed by the user in the mobile app and tracked by the Client Admin in the dashboard.
Add New Task
Tasks can be assigned based on the roles and departments associated with each user. To begin, click on the Add Task button (located in the All Tasks window).
- Task title
- Subtask title
- Task details
- Option to attach file

Assigning Tasks
Once a task has been created, it can be assigned to a user. Select the users from the list in the Task window. Select the schedule type (one time, daily, weekly, monthly, always), priority type, and due date. Then click on the Assign button.

Track Tasks
To track an assigned task, click on the View icon. This will open up the tasks detail window.


Training
Employee training can be viewed, created, and tracked in the training module. In addition, third-party external training data (Pectora) can be imported.
Create Training
Training templates are available that include slots for directions, images, and video. To create a new training, select the facility, enter the training session name, drag-and-drop items into the template, and click on the Save Training button.


Once a training has been created, you will see it in the list of available trainings under the Trainings nav item.
External training rosters can be imported. Rosters can also be downloaded (csv file.)

Assign Training
To assign a training, click on the Assign icon next to the name of the training. It will open up a new window where you can see a list of users to assign the training to. (Note: There is also an option in this window to import users from an external csv file.) Select the user, priority type, and due date, and click on the Assign button.
Additionally, a .csv roster file may be uploaded in this panel.

Remediation Option
In the Assign Training window, there’s an additional feature to toggle on for Attaching a Remediation / VAT Task. Enabling this option triggers the opening of a new window displaying available VAT reports. (Note: Completion of a VAT Report is necessary before activating this feature.)
Adding External Training Rosters
External training rosters from Pectora may be imported by clicking on Facilities & Geo Locations in the nav, and then locating your facility from the list of options in the window. Click on the Edit icon for the facility and scroll down to the bottom of the window to enter in the Pectora Authentication. Here you will need to add the necessary Pectora ID and Authorization token.
The API connecting Pectora to EllisDocs retrieves existing credentials to generate a roster for recording in-service sessions. Furthermore, it extracts In-Service certificates for individuals who have finished virtual In-Service lessons through Pectora.
To access the API keys for your account, login to Pectora and click the Accounts link in the main navigation. If you’re brought to a page that lists multiple accounts, click the account name you want to use to connect to the API. From the Account page, append “/api-access” to the url (the url should be similar to: https://app.pectora.com/accounts/account/000/api-access). The keys you need for API authentication are X-Auth-Id and X-Auth-Token.

Note: Users imported into the dashboard from external training rosters are identified as training participants, not users. All EllisDocs users must have a profile created by the Client Admin.
Track Training
Client Admins with the correct permissions can check any training progress. The Track Training window shows the names of the user assigned to the training and the time it was scheduled.

Create Report Template
Client Admins with Gold and Enterprise subscription packages have the ability to create custom report templates. To begin, name the template, choose the template report type (standard, incident, inventory, VAT), select the facility, and set the status (active/inactive).
The following form fields are available for drag-and-drop:

Once the form is built, click on the Save Template button. The form may also be downloaded as a PDF.

Standard Report Template
The standard report template is designed for various topics, including staff attendance, supplemental oxygen, emergency situations, water quality, and rescue reports, among others. Whenever a standard report template is generated, it becomes part of the database for future use. These templates are straightforward and can be reused multiple times.

Assigning and Scheduling Standard Reports
To allocate a standard report, simply click the Assign button adjacent to the report’s name. You can designate the report to the Facility, User, or Role. Opting for Facility or Role will notify all users associated with the facility or possessing the specified role type through the mobile app. Alternatively, if User is chosen, you can assign the report directly to a specific user.
There are several options for scheduling reports: one-time, daily, weekly, monthly, and always.
Before scheduling, it’s essential to designate the priority level, ranging from standard, low, alert, to emergency. Assigning an emergency priority indicates the urgent nature of the task, while standard or low priorities imply less immediate attention. The alert option signifies a need for vigilance and careful consideration of the task at hand.

Customizing Standard Reports
In the Client Admin portal, standardized reports can be edited and saved as a new report template. To edit a standardized report, simply click on the Edit button next to the report you want to modify. Then, drag and drop items you wish to include in the template and remove any unnecessary ones. Remember to rename the template for easy identification as a new report. Finally, click on “Save as a New Template” located at the bottom of the report.
Customizing the Lifeguard In-Service Attendance Report
The default lifeguard In-Service template is a report template that can be used to document your ongoing lifeguard training. This template is designed to document 30 lifeguard participants, and the activity completed in that training. Simply click the edit button beside the Lifeguard In-Service Attendance Report, then drag and drop the Input Field into the template. Choose “text” as the Type and specify the number along with “Lifeguard Name” as the Label.

Incident Report Template
The incident report serves the purpose of documenting incidents occurring within and around aquatic facilities. The structure and mechanisms of the incident report are akin to those of the standard report template.

VAT Report Template
Disclaimer: The VAT (Vigilance Awareness Training) report is a standardized report intended for use only by Ellis & Associates clients who utilize the International Lifeguard Training Program. It requires understanding of the entire VAT process to utilize correctly and should not be used by non-E&A clients.
The VAT template is utilized for initial training sessions, while subsequent training templates are employed for follow-up sessions if trainees fail to meet targets. These templates include essential trainee and training details, focusing heavily on pass rates and remediation efforts.
The Client Admin is responsible for assigning both initial and follow-up training sessions. Assigned training sessions are reflected in the track training section, accessible to both the admin and trainees via mobile devices. Upon successful completion, the admin marks the report as passed; otherwise, it enters a remediation process.
In the event of a failure, the report is labeled as “initial drill failed,” and the track training section reflects this outcome. Trainees who fail receive additional training tailored to their specific shortcomings, along with a deadline for completion. These new assignments are promptly updated in the track training section for easy monitoring.
Remediation
The follow up alert on Initial Drill is automatically generated and assigned to the facility, but it can also be designated to an individual responsible for the remediation training. Upon completion of the in-service training, it is linked to the task. Once the assignee marks the task as finished, it triggers an ALERT signifying the completion of the failed VAT and in-service training, consequently generating a new report and alert. The remediation In-Service training must be documented and linked to the failed VAT report. A new VAT report is automatically generated, connected to the original failed VAT and subsequent In-Service training remediation. An ALERT is also triggered. The report is initially assigned to a facility but can be reassigned to an individual if necessary.
Track Assigned Reports
In this section, you can view all assigned reports listed along with their title, assignee, creator, scheduled time, and available actions. When previewing a report, users can verify its submission status, whether it’s pending or completed. Upon completion, there’s an option to submit the report. Additionally, users have the ability to download a PDF version of the report.

Inventory Management Template
The inventory management template can be used to track the quantity and condition of items being used at the facility, such as life jackets, first aid kits, etc.

Payments/Account/Billing
This section is where you can find your current subscription package and billing statements. When a subscription package is renewed, the status is changed to “Upgrade,” and the package details, including the package amount and duration, are displayed.

Subscription Packages
You can access your current subscription package by clicking on “My Subscription” in the navigation menu on the left. Permissions linked to the subscription level will be automatically activated for the selected package.

Modify Subscription
To adjust or update your subscription package, navigate to “Modify Subscription” in the left-hand menu. Here, you’ll find a dropdown menu containing available package options along with their associated costs.

Email & Notifications
In the email and notifications panel, you can access a list of saved Email and Notification templates. Notifications are sent to all users. Emails are sent directly to a user.

Creating an Email or Notification
To create a new email or notification, click on the Add New nav item or the Add Email or Notifications button in the panel. In this window you can choose the Subject, Type (Email or Notification), enter your message, and click the Add button to save.


Assigning and Sending Emails or Notification
To assign and send an email or notification, click on the Edit icon next to the saved email or notification in the list. Scroll to the bottom of the panel, select the usernames and priority type, and click on the Assign button.
Facilities & Geo Locations
The facilities section displays the current available facilities, along with location details such as facility name, country, city, state, address, and pinpoint location. Users can conveniently view the live location of the facility.
To request a new facility, users can submit a request for review. This request will appear in the Super Admin portal as a “pending facility request.”


Points of Interest
The Points of Interest feature allows you to create a list of utilities and attractions at the facility that can be referenced to in an Incident Report. To add a point of interest, click on the Add Attraction button.

Users Live Location
The Client Admin can view a list of Users and their locations within the facility. The User must have tracking permissions turned on in their mobile device settings.

Tools
Pool Calculator
The dashboard utilizes third-party software for pool calculations, facilitating seamless conversion between pounds and gallons. The software comprises essential components including fields, readings, ideals, selections, and outputs. Designed for users tasked with determining the necessary chemicals for pool maintenance, it offers preset ideal quantities as a reference point. Users can then adjust their pool’s requirements to align with these ideal ranges. Given the dynamic nature of chemical compositions in pools, precision and adaptability are paramount in this domain.

Documents
The documents feature empowers the Client Admin to effortlessly upload and securely store various file formats, including .txt, .pdf, .csv, Excel, .doc, and .docx. It’s also the go-to place for accessing the latest versions of the EllisDocs User Guides.

App
Before using the app, users must be added and authorized to perform tasks by a facility Client Admin of your organization.
Login

After downloading the app, sign in using the email address and password provided to you by the Client Admin of your organization. If assigned a temporary password, you will be prompted to create a new password.
You can also choose to enable notifications through your mobile device’s settings.
Home

The home screen of the app serves as your central hub for accessing Tasks, Alerts, Reports, and Training assigned to you. Additionally, it’s where you can check notifications specifically related to the app, as well as settings.
Settings

In the app Settings, you’ll discover options to manage and modify your profile and password. Additionally, you can toggle off “offline mode” to maintain app functionality even when you’re offline.
When you click on your name, you will be taken to the Profile screen where you may change your first and last name and your profile picture.
Tasks & Reports


After downloading the app, sign in using the email address and password provided to you by the Client Admin of your organization. If assigned a temporary password, you will be prompted to create a new password.
You can also choose to enable notifications through your mobile device’s settings.
Standard Reports

On the Reports screen, you can toggle between two categories—Standard Reports and Incident Reports.
Starting an Assigned Task or Report


To start an assigned task or report, click on the task in the list to open it, and then click on the orange Start Task button. (Note: Starting an Unassigned task will automatically assign the task to you.)
Once you have started a task, you have the option to Save your progress, or Submit to complete. If you save a task or report, it will be moved under the In Progress tab where you can open it again and complete the task at a later date.
Alerts

The Alerts screen is the hub for accessing Tasks and Reports labeled as top priority by the Client Admin. These Alerts can be assigned to individual users, the entire facility, or a specific role.
Note: Alerts will also appear on the Tasks and Reports screens.
Notifications

Whenever a task or report is allocated to a user, facility, or role, a notification is generated within the app. You can access these notifications by clicking on the notification bell icon located in the bottom navigation.
Training

The Trainings screen serves as the central location for accessing app-based trainings and In-Service Training Reports.
Under the Training tab, you’ll discover custom trainings tailored for the EllisDocs app. The training may have videos that can be watched. The required VAT form must be attached to the training in order for it to be submitted by the user.
Under the In-Service tab, you’ll locate the Lifeguard In-Service Attendance Reports. These reports can be saved or submitted.

The facilities section displays the current available facilities, along with location details such as facility name, country, city, state, address, and pinpoint location. Users can conveniently view the live location of the facility.
To request a new facility, users can submit a request for review. This request will appear in the Super Admin portal as a “pending facility request.”


Points of Interest
The Points of Interest feature allows you to create a list of utilities and attractions at the facility that can be referenced to in an Incident Report. To add a point of interest, click on the Add Attraction button.

Users Live Location
The Client Admin can view a list of Users and their locations within the facility. The User must have tracking permissions turned on in their mobile device settings.

Tools
Pool Calculator
The dashboard utilizes third-party software for pool calculations, facilitating seamless conversion between pounds and gallons. The software comprises essential components including fields, readings, ideals, selections, and outputs. Designed for users tasked with determining the necessary chemicals for pool maintenance, it offers preset ideal quantities as a reference point. Users can then adjust their pool’s requirements to align with these ideal ranges. Given the dynamic nature of chemical compositions in pools, precision and adaptability are paramount in this domain.

Documents
The documents feature empowers the Client Admin to effortlessly upload and securely store various file formats, including .txt, .pdf, .csv, Excel, .doc, and .docx. It’s also the go-to place for accessing the latest versions of the EllisDocs User Guides.

App
Before using the app, users must be added and authorized to perform tasks by a facility Client Admin of your organization.
Login

After downloading the app, sign in using the email address and password provided to you by the Client Admin of your organization. If assigned a temporary password, you will be prompted to create a new password.
You can also choose to enable notifications through your mobile device’s settings.
Home

The home screen of the app serves as your central hub for accessing Tasks, Alerts, Reports, and Training assigned to you. Additionally, it’s where you can check notifications specifically related to the app, as well as settings.
Settings

In the app Settings, you’ll discover options to manage and modify your profile and password. Additionally, you can toggle off “offline mode” to maintain app functionality even when you’re offline.
When you click on your name, you will be taken to the Profile screen where you may change your first and last name and your profile picture.
Tasks & Reports

Standard Reports

On the Reports screen, you can toggle between two categories—Standard Reports and Incident Reports.
Starting an Assigned Task or Report

To start an assigned task or report, click on the task in the list to open it, and then click on the orange Start Task button. (Note: Starting an Unassigned task will automatically assign the task to you.)
Once you have started a task, you have the option to Save your progress, or Submit to complete. If you save a task or report, it will be moved under the In Progress tab where you can open it again and complete the task at a later date.

Alerts

The Alerts screen is the hub for accessing Tasks and Reports labeled as top priority by the Client Admin. These Alerts can be assigned to individual users, the entire facility, or a specific role.
Note: Alerts will also appear on the Tasks and Reports screens.
Notifications

Whenever a task or report is allocated to a user, facility, or role, a notification is generated within the app. You can access these notifications by clicking on the notification bell icon located in the bottom navigation.
Training

The Trainings screen serves as the central location for accessing app-based trainings and In-Service Training Reports.
Under the Training tab, you’ll discover custom trainings tailored for the EllisDocs app. The training may have videos that can be watched. The required VAT form must be attached to the training in order for it to be submitted by the user.
Under the In-Service tab, you’ll locate the Lifeguard In-Service Attendance Reports. These reports can be saved or submitted.
